This Privacy Policy outlines Sanpete County Chamber of Commerce (" we ", " our " or " the Company ") practices with respect to information collected from users who access our website at sanpetechamber.org (" Site ") or otherwise share personal information with us (collectively: " Users "). 

Grounds for data collection 

 
Processing of your personal information (i.e. any information which may potentially allow your identification through reasonable means; hereinafter " Personal Information ") is necessary for the performance of our contractual obligations towards you and providing you with our services, to protect our legitimate interests and for compliance with legal and financial regulatory obligations to which we are subject.

When you use the Site, you consent to the collection, storage, use, disclosure and other uses of your Personal Information as described in this Privacy Policy.

By becoming a member, you consent to the Chamber’s use of your business name, logo, and publicly provided business information for promotional and marketing purposes.

We encourage our Users to carefully read the Privacy Policy and use it to make informed decisions. 

What information do we collect?

 
We collect two types of data and information from Users. 

The first type of information is un-identified and non-identifiable information pertaining to a User(s), which may be made available or gathered via your use of the Site (“ Non-personal Information ”). We are not aware of the identity of a User from which the Non-personal Information was collected. Non-personal Information which is being collected may include your aggregated usage information and technical information transmitted by your device, including certain software and hardware information (e.g. the type of browser and operating system your device uses, language preference, access time, etc.) in order to enhance the functionality of our Site. We may also collect information about your activity on the Site (e.g. pages viewed, online browsing, clicks, actions, etc.).

The second type of information Personal Information, which is individually identifiable information, namely information that identifies an individual or may, with reasonable effort, identify an individual or member. Such information includes:

Such information includes geolocation data, IP address, browser type, device type, unique identifiers (e.g., MAC address and UUID), and other information which relates to your activity through the Site.   • Registration Information: When you register for membership, events, sponsorships, or create an account on our Site, you will be asked to provide certain details such as your full name, business name, title/role, email address, mailing address, physical address, phone number, and other relevant contact information. This information is collected to establish and manage your membership, communicate with you, process registrations, and provide Chamber services. 
  • Business Information: We collect business-related information including business description, industry classification, website URL, social media links, logo, promotional materials, and other publicly shared business details. This information is used to promote your business in our member directory, website listings, marketing materials, and Chamber communications.
  • Billing and Payment Information: When you pay membership dues, event fees, or sponsorship fees, you may be required to provide billing name, billing address, and payment details. Payment information is processed through secure third-party payment processors. We collect this information to process transactions, maintain financial records, and comply with legal and accounting obligations. We do not store full credit card numbers.
  • Event Participation Information: When you register for or attend Chamber events, we may collect information such as attendance records, sponsorship participation, booth assignments, dietary restrictions (if voluntarily provided), and event preferences. This information is used to manage event logistics, provide accommodations, fulfill sponsorship benefits, and improve future programming.
  • Communications Information: If you subscribe to newsletters, respond to surveys, submit forms, or contact us directly, we collect the information you provide, including your name, email address, phone number, and message content. This information is used to respond to inquiries, distribute communications, improve our services, and maintain accurate communication preferences.
  • Member Directory Information: Information provided for inclusion in the Chamber’s public member directory may include business name, contact name, phone number, address, email address, website, logo, and business description. This information is published as part of your membership benefits to promote networking and public visibility.
  • Media and Promotional Information: If you voluntarily submit photographs, videos, testimonials, press releases, award nominations, or other promotional content, we collect and use this information for marketing, promotional, and public relations purposes across our website, social media platforms, newsletters, and printed materials.
  • Advocacy and Committee Participation Information: If you participate in advocacy initiatives, committees, or policy discussions, we may collect your stated legislative interests, policy positions, and participation records. This information is used to represent member interests and facilitate Chamber-led advocacy efforts.

How do we receive information about you?

We receive your Personal Information from various sources:
  • When you voluntarily provide us with your personal details in order to register on our Site;
  • When you use or access our Site in connection with your use of our services;
  • From third-party providers, services and public registers (for example, traffic analytics vendors).

We may use the information for the following:
  • Communicating with you – Sending you notices regarding your membership, dues, renewals, events, sponsorships, programs, policy updates, and providing you with administrative, technical, or customer service support.
  • Membership administration – Establishing and managing your membership account, maintaining member records, verifying eligibility, processing applications and renewals, and providing access to member benefits.
  • Processing payments – Processing membership dues, event registrations, sponsorship payments, donations, and maintaining required financial and accounting records.
  • Event management – Registering attendees, organizing events, managing logistics, confirming participation, providing accommodations when requested, and fulfilling sponsorship benefits.
  • Member promotion and directory listings – Publishing business information in our online and printed directories, website listings, newsletters, social media, and other promotional materials as part of membership benefits.
  • Marketing and communications – Providing you with newsletters, announcements, surveys, promotional materials, and information about programs, services, and opportunities offered by the Chamber. You may opt out of marketing communications at any time, where required by law.
  • Advocacy and community initiatives – Representing member interests in local, state, and federal matters; facilitating policy discussions; organizing committees; and communicating legislative or community updates relevant to members.
  • Advertising and sponsorship recognition – Displaying sponsor logos, advertisements, and promotional materials on our Site, at events, or in Chamber communications.
  • Improving our Site and services – Conducting statistical analysis, research, and performance monitoring to improve our website functionality, member services, programs, and overall operations.
  • Legal compliance and protection – Complying with applicable laws, regulations, and recordkeeping requirements; enforcing our policies; preventing fraud or misuse; and protecting the rights, property, and safety of the Chamber, our members, and the public.
    In addition to the different uses listed above, we may transfer or disclose Personal Information to our subsidiaries, affiliated companies and subcontractors.

    In addition to the purposes listed in this Privacy Policy, we may share limited Personal Information with trusted third-party service providers and partners for operational and promotional purposes.

    • Service Providers: We may share information with vendors who assist us with website hosting, payment processing, email communications, event management, printing services, and other operational support. These providers are authorized to use the information only as necessary to provide services on our behalf.
    • Marketing and Promotional Use: As part of the benefits of Chamber membership, we may use and share member business information, including business name, contact information, logos, business descriptions, and promotional materials, in connection with Chamber marketing and advertising efforts. This may include, but is not limited to, newspaper articles, magazines, community guides, event programs, banners, flyers, social media posts, website listings, sponsorship materials, and other promotional publications.

    Such use is intended to promote member businesses and highlight participation in Chamber programs, events, and initiatives.

    We do not sell Personal Information to third parties.

    We may also disclose information if we have a good faith belief that disclosure is reasonably necessary to: (i) comply with applicable law, regulation, legal process, or governmental request; (ii) enforce our policies or membership agreements;(iii) investigate, detect, prevent, or address fraud, security issues, or illegal activity; (iv) protect the rights, property, or safety of the Chamber, our members, or the public; or (v) establish or defend legal claims.

    Retention

    We will retain your personal information for as long as necessary to provide our services, and as necessary to comply with our legal obligations, resolve disputes and enforce our policies. Retention periods will be determined taking into account the type of information that is collected and the purpose for which it is collected, bearing in mind the requirements applicable to the situation and the need to destroy outdated, unused information at the earliest reasonable opportunity. Under applicable regulations, we will keep records containing client personal data, account opening documents, communications and anything else as required by applicable laws and regulations. 

    We may rectify, replenish or remove incomplete or inaccurate information, at any time and at our own discretion.

    We reserve the right to periodically amend or revise the Privacy Policy; material changes will be effective immediately upon the display of the revised Privacy policy.
